Terms of service

These terms are the agreement between you (the business using RoundSorted) and us. RoundSorted is run by PT Digital Limited (registered in Scotland), company number SC903532, registered office 48 West George Street, Office 2/3, Glasgow, G2 1BP. In these terms “we”, “us” and “our” mean that company; “you” means the business that signs up and anyone you let use your account.

RoundSorted is a tool for businesses. By creating an account you confirm you're using it for your business, not as a consumer, and that you're allowed to agree to these terms on the business's behalf.

1. What RoundSorted does

RoundSorted helps you manage regular delivery or service rounds: customers and standing orders, daily run sheets and load lists, route order, a driver view on a phone, invoices and payment links. We also offer free public tools (such as the route planner) that anyone can use without an account.

We'll keep improving the service, which means features may change. If we remove something important that you pay for, we'll tell you in advance.

2. Your account

  • Give us accurate details and keep your email address up to date — that's how we reach you.
  • Keep passwords safe. You're responsible for what happens under your account, including what your staff and drivers do with the logins you give them.
  • Tell us straight away at hello@roundsorted.co.uk if you think someone has got into your account.

3. Plans, payment and cancelling

  • The Free plan costs nothing and has the limits shown on our pricing page.
  • Paid plans are billed monthly in advance by card through Stripe, at the price shown when you subscribe. They renew each month until you cancel.
  • You can cancel any time from your account. You keep paid features until the end of the month you've paid for, and we don't charge you again. We don't refund part-months unless the law requires it.
  • If a payment fails we'll let you know and try again. If it still isn't paid, we may move your account to the Free plan's limits until it is. We won't delete your data just because a payment failed.
  • We may change our prices. We'll give you at least 30 days' notice by email before a change affects you, so you can cancel first if you'd rather.

4. Payments from your customers

If you take card payments from your own customers, they go through your own Stripe account, under your agreement with Stripe. The money goes to you, not through us. You're responsible for your prices, invoices, refunds, VAT and any disputes with your customers. Stripe charges its own fees.

5. Your data and your customers' data

The information you put into RoundSorted — your customers' names, addresses, contact details, orders, deliveries and invoices — belongs to you. You can export it or ask us for a copy at any time.

For that customer data you are the data controller and we are your data processor: we only use it to run the service for you, on your instructions. Our data processing terms are in section 6. How we handle our own account data (for example your login and billing details) is explained in our privacy notice.

You confirm you have a lawful basis to give us your customers' details and that you've told them how you use their information (for example in your own privacy notice).

6. Data processing terms (UK GDPR Article 28)

Where we process personal data for you, we will:

  • process it only to provide RoundSorted and on your documented instructions (these terms, and how you use the service, are your instructions);
  • make sure our staff and contractors who can see it are bound by confidentiality;
  • keep it secure with appropriate technical and organisational measures, including encryption in transit, access controls and backups;
  • only use the sub-processors listed in our privacy notice, which you authorise by agreeing to these terms. We'll tell you before adding or replacing a sub-processor so you can object;
  • make sure any sub-processor is bound by data protection terms at least as protective as these;
  • only transfer data outside the UK with appropriate safeguards (such as the UK International Data Transfer Addendum or an adequacy decision);
  • help you answer requests from people exercising their data rights, and help you meet your security, breach-notification and impact-assessment duties, as far as is reasonable for what we do;
  • tell you without undue delay if we become aware of a personal data breach affecting your data;
  • delete or return the data when you close your account (see section 9), unless the law requires us to keep it;
  • give you the information you reasonably need to show we're meeting these obligations.

The data we process for you is: names, addresses, phone numbers and email addresses of your customers, their orders, delivery records (including notes and any photos your drivers take) and invoices and payment status; and names and logins of your staff. We process it for as long as you have an account.

7. Fair use

Please don't:

  • use RoundSorted for anything unlawful, or to send spam;
  • try to get into other businesses' accounts or data, or test our security without our written permission;
  • overload the service, scrape it, or use the free route planner in an automated way;
  • resell the service without our agreement.

If you do, we may suspend your account. Where we can, we'll tell you first and give you a chance to put things right.

8. Route planning and maps

Routes, distances and times are worked out automatically from map data (OpenStreetMap, OSRM and postcodes.io) and are estimates. They don't take account of traffic, road closures, vehicle size or weight limits. Drivers must always follow road signs and the law and use their own judgement.

9. Closing your account

You can close your account at any time by asking us. Before you do, export anything you want to keep. After closing, we'll delete your business's data within 90 days, except anything we must keep by law (such as our own billing records). Backups are overwritten on a rolling cycle.

We can close an account with 30 days' notice, or straight away if you've seriously or repeatedly broken these terms. If we close an account without fault on your side, we'll refund any unused part of a month you've paid for.

10. Availability

We work hard to keep RoundSorted running, but we can't promise it will never be unavailable or never have faults. We'll fix problems as quickly as we reasonably can and give notice of planned maintenance where possible.

11. Our liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that can't be limited by law.

Otherwise, we aren't liable for loss of profit, revenue, business or goodwill, or for indirect or consequential loss. Our total liability to you in any 12-month period is limited to the amount you paid us in that period (or £100 if that's more).

Because RoundSorted is a business tool, consumer-protection rules for individuals don't apply, but you keep any rights the law gives businesses that can't be excluded.

12. Changes to these terms

We may update these terms. If a change matters, we'll email you at least 30 days before it takes effect. If you keep using RoundSorted after that, the new terms apply; if you don't agree, you can cancel before then.

13. Law

These terms are governed by the law of Scotland, and the Scottish courts have jurisdiction, unless you're based elsewhere in the UK and choose the courts where your business is based.
